1. Complimentary Headshot Policy

Each conference attendee is eligible for one complimentary edited headshot per event.

All attendees will receive a private online gallery of 10 or more edited images from their session for viewing and selection. The number of images available to download depends on the package selected at the time of purchase:

• Package 1 (Free): One free LinkedIn-ready headshot. Not intended for large-format or commercial print.
• Package 2: One high-resolution image available for download + retouching credits.
• Package 3: Full gallery — all edited images available for download.

Complimentary images are provided per attendee, not per booking slot. Multiple bookings or repeat visits during the same conference may be combined into a single gallery under the same attendee profile.

Complimentary images have no cash value and may not be exchanged, transferred, or substituted for other services or products.

2. Pricing & Packages

The following packages are available at Trellis Impact 2026:

Pricing is subject to change. Due to the digital nature of photography products, all purchases are final after download.

3. Early Bird Pricing & Retouching Credits

Early bird pricing is available for a limited time before and during the opening of the conference. Once the conference is underway, pricing returns to standard rates.

Credits are not included with standard pricing after the conference.

Retouching credit terms:

• Credits are non-refundable and have no cash value
• Credits may not be transferred to another person or account
• Credits are valid for 365 days after gallery delivery
• Credits apply toward retouching services only, through The Real McCoy Photography LLC’s retouching order form
• Credits cannot be applied toward package upgrades or other purchases

4. Image Delivery Timeline

Galleries are typically delivered within 7–10 business days after the conclusion of the conference.

Delivery timelines may vary depending on:

• Conference volume
• Travel schedule
• Internet limitations
• Platform outages
• Editing workload
• Other unforeseen technical or operational issues

Attendees will receive an email notification once their gallery is ready for viewing. If you opt-in for SMS messaging you may also receive an SMS invitation to your gallery to bypass email spam filters.

5. Gallery Expiration

Online galleries remain active for 7 days after delivery unless otherwise stated.

After expiration:

• Galleries may be archived or permanently removed
• Gallery reactivation or extension may require an additional fee
• Availability of archived galleries is not guaranteed

Clients are responsible for downloading and backing up purchased images before gallery expiration.

6. VIP Priority Add-On Policy

VIP Priority upgrades are intended to provide faster access, priority line placement, or expanded service whenever reasonably possible during the live conference environment.

However, VIP upgrades do not guarantee:

• Immediate delivery
• On-demand editing
• After-hours availability
• Reopened sessions after booth closure
• Service after booth teardown has begun

VIP services are provided at the photographer’s discretion based on staffing, workload, conference schedule, and operational limitations. If a VIP request cannot reasonably be fulfilled due to timing or conference operations, alternative accommodations may be offered when possible.

7. Retouching Policy

“Basic editing” is included with all delivered galleries and may include:

• Exposure adjustments
• Color correction
• Cropping
• Minor cleanup

“Retouching” is available as an additional paid service and may include:

• Skin retouching
• Flyaway hair cleanup
• Clothing adjustments
• Background cleanup
• Object removal
• Background swap
• And many more…

Retouching turnaround times may vary depending on workload and conference volume. RAW files are never delivered.

8. Usage Rights

Attendees are granted a personal and professional usage license for all purchased or complimentary images.

Permitted uses include:

• LinkedIn and other professional profiles
• Company or speaker bios
• Personal websites and portfolios
• Social media
• Business cards
• Internal company use

Images may not be:

• Resold or licensed to third parties
• Used in paid advertising or sponsored content — contact us for commercial licensing options
• Used for commercial resale
• Used to train AI systems or generate synthetic likenesses
• Altered with filters or AI tools in a way that misrepresents the photographer’s work

9. Photography Style & Editing

By participating in a session, attendees acknowledge that they are booking the photographer based on their portfolio, editing style, posing direction, and creative approach.

Editing requests outside the photographer’s normal style may require additional fees or may be declined at the photographer’s discretion.

The photographer retains full creative discretion regarding posing, composition, lighting, editing style, cropping, image selection, and gallery organization but is always open to suggestions and ideas.

10. Session Timing & Attendance

Conference headshot sessions operate in a live event environment and are designed to be efficient and fast-paced. Sessions are generally first-come, first-served unless otherwise scheduled.

Attendees arriving late, leaving the line, or missing their session opportunity may not be guaranteed another session due to conference scheduling limitations.

The photographer reserves the right to reasonably manage session timing, line flow, booth closure, and setup and teardown operations.

11. Conference Environment Disclaimer

Conference headshot booths operate in active public event spaces. Background noise, crowds, venue restrictions, lighting limitations, and time constraints are part of the conference environment and may affect the overall session experience.

Attendees understand that conference headshot sessions differ from private studio portrait sessions and are intended to provide a streamlined, professional experience within the constraints of a live event.

12. Model Release & Privacy Requests

By participating in the session, attendees grant The Real McCoy Photography LLC permission to use session images for portfolio display, website marketing, social media, educational materials, conference promotion, and future booth advertising.

For attendees under 18 years old, participation and acceptance of these terms must be authorized by a parent or legal guardian.

13. Limitation of Liability

The Real McCoy Photography LLC is not responsible for:

• Missed sessions due to attendee lateness
• Delivery delays caused by platform outages, travel delays, internet outages, or force majeure events
• Equipment failures outside reasonable control
• Lost or corrupted downloads after delivery
• Conference policy changes or venue restrictions outside the photographer’s control

While reasonable backup precautions are taken, The Real McCoy Photography LLC is not liable for catastrophic data loss caused by equipment failure, storage corruption, theft, cyberattack, or circumstances beyond reasonable control.

In the event of significant operational interruption, reasonable efforts will be made to continue or resume services when possible.

14. Conduct & Respect Policy

The Real McCoy Photography LLC reserves the right to refuse or terminate service for anyone engaging in harassment, abusive conduct, disruptive or unsafe behavior, or discriminatory behavior toward staff, attendees, or venue personnel.

15. Governing Law

These Terms & Conditions are governed by the laws of the State of Arizona, United States. Any disputes arising from services provided by The Real McCoy Photography LLC shall be governed under Arizona law.
